  • What is a remote online notary (RON)?

Remote online notarization (RON) is a process that allows individuals to electronically sign and notarize documents with the assistance of a notary public via the internet. This method enables signers and notaries to connect remotely through secure audio-video technology rather than meeting in person.

The key components of remote online notarization typically include:

Identity Verification: Notaries must verify the identity of the signer through methods such as knowledge-based authentication questions, government-issued ID verification, and biometric verification.

Secure Communication: The signer and the notary communicate in real-time through secure audio-video technology. This ensures that both parties can see and hear each other during the notarization process.

Electronic Signature: The signer electronically signs the document using an approved electronic signature method. This signature is typically affixed to the document using digital signature technology to ensure its integrity and authenticity.

Notarial Certificate: The notary public affixes a digital notarial certificate to the document, indicating that the signer appeared remotely and was identified according to the state's requirements.

Document Recording: The electronically signed and notarized document is securely stored and may be provided to the signer in electronic or physical format, depending on the requirements of the transaction.

Remote online notarization offers several benefits, including increased convenience, flexibility, and accessibility for individuals who may find it challenging to appear in person before a notary public.

  • How does online notarization work?

Remote online notarization (RON) involves a series of steps to facilitate the electronic signing and notarization of documents. Here's a general overview of how RON typically works:

The signer is 18 or older, has a valid ID (Drivers License, Passport, Goverment issued identification card with a photo)

Scheduling: The signer schedules an appointment with a notary public who is authorized to perform remote online notarizations.

Identity Verification: Prior to the scheduled appointment, the signer undergoes identity verification using a secure and approved method. This may involve answering knowledge-based authentication questions, providing government-issued identification, and possibly undergoing biometric verification.

Video Conference: At the scheduled time, the signer and the notary connect via a secure audio-video conference platform. Both parties can see and hear each other in real-time, enabling visual confirmation of identity and facilitating communication throughout the notarization process.

Document Presentation: The signer presents the document(s) that require notarization to the notary through the video conference platform. The notary reviews the document(s) to ensure they are complete and ready for notarization.

Electronic Signature: The signer electronically signs the document(s) using an approved electronic signature method. This signature is typically applied directly to the document using digital signature technology to ensure its integrity and authenticity.

Notarial Act: The notary performs the required notarial act, which may include affixing an electronic notarial seal or certificate to the document(s) to indicate that the signer appeared remotely and was identified according to the state's requirements.

Document Delivery: Once the notarization process is complete, the electronically signed and notarized document(s) are securely stored and made available to the signer. Depending on the transaction's requirements, the document(s) may be provided in electronic format, physical format, or both.

Recordkeeping: The notary maintains records of the remote online notarization transaction in accordance with state regulations. This includes securely storing electronic copies of the notarized document(s) and any associated transaction records.

It's important to note that the specific procedures and requirements for remote online notarization may vary by state, and notaries must comply with applicable laws and regulations when conducting RON transactions. Additionally, notaries may use specialized RON platforms or software to facilitate and securely manage remote notarizations.

  • What else should I know about remote notarizations?

While online notarizations are recognized legally in the US, each state varies on regulation. It is up to the signer to confirm with the recipient of the document that wet ink signatures are not required.
